Data Retention

Why edsoQ keeps each kind of record, and the exceptions to deletion.

Version 2Draft, effective 18 October 2026

edsoQ is operated by [Operator legal entity — to be confirmed], whose registered address is [Registered address — to be confirmed].

What this policy covers

This policy explains retention of personal information processed for accounts, learning, payments, verification and platform support. It supplements the Privacy Policy and applies to edsoQ-controlled records; independent recipients and providers may have their own retention duties.

Account and profile information

Account details are retained while required to operate the account and manage permissions, security and outstanding obligations. On closure, information that is no longer needed is deleted or de-identified through the applicable deletion process. Public content may remain in copies held by other users; closing an account does not erase their independent records.

Verification documents

Identity and organisation evidence should be retained only for the verification, security, dispute or applicable compliance purpose for which it is needed. A teacher's identity evidence (the copy of their accepted national ID card or passport), the identity-review result and teacher subscription transactions are separate records with separate purposes: identity evidence supports identity review and related security matters, the review result records whether teaching access may be granted, and subscription transactions support billing, accounting and disputes. Identity-document copies are never public profile content. Access is restricted to authorised personnel. Retention of the verification result may differ from retention of the original document; the applicable periods are those approved for each record, and no fixed deletion period is promised here. Evidence submitted under an earlier teacher review is not deleted except through the applicable retention process.

Payments and learning records

Transactions, balances, holds, refunds, payout records, teacher subscription billing and acceptance records, attendance, agreements and case evidence may be retained for outstanding services, accounting, reconciliation, disputes, fraud prevention or applicable legal obligations. Deletion is not available where retention remains necessary for such purposes.

Messages, recordings and support

Retention depends on the feature, purpose, record type and applicable account rules. Do not treat permission to join a session as indefinite permission to retain or redistribute a recording. Relevant records may be preserved for a reported safety or payment matter.

Backups and deletion requests

Deletion from active systems may occur separately from expiry in backups and security records. A restricted record may be kept where deletion would interfere with a necessary investigation or legal obligation. Request information about your record or deletion through Support. Exact applicable periods depend on the record and governing requirements; no universal deletion deadline is promised.

Questions and requests

Contact support@edsoq.com or use edsoq.com/contact. Include the relevant account, QSquad, session or transaction reference. Do not send passwords, one-time codes or full payment-card details. A request does not guarantee a particular decision or processing time. Rights and duties that cannot lawfully be excluded remain unaffected.
